Accounting and Payroll Specialist

As we prepare for the retirement of a valued team member, we are looking to bring in an experienced Accounting and Payroll Specialist who can continue to contribute to our success.
Position Overview:
We are seeking a motivated and talented individual to join our team as an Accounting and Payroll Specialist. In this role, you will be responsible for payroll and a variety of accounting duties. This position also provides certain office support functions, including reception coverage, and provides back up to the Office Manager. This is a full-time position and you will be reporting directly to the CFO.
Key Responsibilities:
- Process biweekly payroll for all employees, ensuring accuracy and compliance with labor laws and company policies
- Maintain employee records and assist with benefits administration
- Prepare all project related billings to customers (AIA/SOV/progress billing, time and materials)
- Prepare certified payroll reports
- Set up and maintain projects in payroll and accounting software
- Review and enter accounts payable invoices while verifying coding consistency and accuracy
- Review and process project credit card expenses
- Assist in creating journal entries
- Assist with month end account reconciliations
- Assist with the collection of outstanding accounts receivable as well as the entry and recording of cash, check or electronic deposits into the financial accounting software
- Assist as needed with miscellaneous office tasks including answering phone and directing calls
- Recommend improvements in methods and create and update procedures
- Backup duties to the Office Manager
Qualifications:
- Associate Degree or 2 years of accounting and payroll processing experience preferred
- Construction industry experience preferred
- Proficiency in accounting software (e.g., Sage, Quickbooks) and MS Office Suite, Excel
- Excellent attention to detail and organizational skills
- Maintain confidentiality and discretion on all aspects of the business
- Ability to work independently and handle multiple tasks in a fast-paced environment
- Strong analytical and problem-solving abilities
- Effective communication skills, both written and verbal
What We Offer:
Pay is based on your experience and ability with a range of $22.00 – $26.00 per hour and a yearly bonus. Our competitive benefit package includes health, dental, 401(k) with up to 4% match, annual profit sharing averaging 6% the last 5 years, and paid time off and holidays.
