This position promotes and supports the learning experience of Marian University students by, supporting the Director of Student Accounts in managing the financial operations related to student accounts, tuition payments, and other financial transactions within the institution. This role involves overseeing billing processes, ensuring accuracy of financial records, and providing excellent customer service to students, parents, and staff while maintaining a positive work environment.
ESSENTIAL FUNCTIONS:
Student Accounts Administrative Support- 45%
- Provide high quality in-person, phone, and email customer service to students, parents, and staff regarding billing inquiries.
- Assist in managing student billing, payment, and outside collection processes.
- Assist in ensuring the accuracy and timely processing of tuition fees, room and board charges, and other student related fees.
- Assist in oversight of payment plans/portals and regularly coordinate with financial aid to ensure proper application of scholarships, grants and loans to student accounts.
- Handle student account inquiries and resolve discrepancies.
- Assist in file upload, refund, and batch posting processes.
- Create and maintain tracking for special programs, providing invoices as needed.
- Ensure compliance with institutional policies as well as state and federal regulations regarding student financial accounts.
- Maintains the knowledge required to comply and effectively communicate all institutional, state and federal policies, guidelines and regulations relating to student accounts, including but not limited to the following: FERPA and Title IV regulations.
- Assist in the preparation of financial reports and audits.
- Participates in on campus student events when the business office presence is needed to discuss financial planning, such as New Student Orientation.
Cash Management -30%
- Responsible for all daily cash handling activities and both in-person and remote banking functions.
Accounting Activities – 25%
- Monthly reconciliation of student related accounts.
- Assist in preparation of financial reports and audits.
OTHER RESPONSIBILITIES – 5%
- Performs other work-related duties as assigned.
EDUCATION, EXPERIENCE, and SKILLS REQUIRED:
- Bachelor’s Degree with 1-2 years of prior administrative office or equivalent experience
- Strong analytical and problem-solving skills.
- Proficiency in Microsoft Office Suite (especially Excel).
- Cash handling and management experience.
- Strong oral and written communication and interpersonal skills.
- Detail oriented with exceptional organizational and time management skills.
- Ability to work independently and as part of a team.
- Ethical comportment and high regard for confidentiality.
