Summary/Objective
The primary responsibility of this position is to provide a wide range of administrative support and coordination to Estimator Coordinator and Estimators. Performs a variety of administrative functions including typing, record-keeping, information collection and reporting, scheduling functions and handles information of a confidential nature.

- Provide administrative support to the Estimating Department
- Make phone calls to Subcontractors and Suppliers for upcoming projects
- Maintain internal Bid Calendar with bid dates and confirm appropriate individuals are invited based on bonding needs and project management support
- Monitor bids@cdsmith.com account
- Monitor C.D. Smith’s Fax Line for bids or forward faxes to other departments when necessary (Accounting, Payroll, Safety)
- Work with planroom administrator on maintaining job files and review for archive
- Download project plans and specifications for upcoming jobs
- Set up Drawings folder for new projects including labeled plans for estimator’s take off
- Print internally or send out to print plans and specifications when required
- Maintain and update subcontractors on C.D. Smith’s planroom
- Contact newspaper to be added to bid list for all projects
- Broadcast Addendum plans and specifications to subcontractors via planroom and print copies for Estimator
- Work with Senior Estimating Coordinator with invited subcontractors regarding their intent to bid solicited project and note response in planroom to insure complete bid coverage.
- Run Minority Participation advertisements in multiple newspapers per required specs. Print copies of affidavit to include with bid for submission
- Create bid cards for projects prior to bid day
- Document bid results and email to company distribution list
- Update Estimating Spreadsheet with bid totals and percentages
- Make sure bid room is supplied with necessary supplies prior to bid day
- Scan Bid Documents into job folders after project has been bid and notify IT department that folders can be archived if job was not awarded
Essential Knowledge, Skills and Abilities:
- General knowledge of construction and estimating processes and procedures.
- Knowledge of record keeping, report preparation, filing methods and records management techniques.
- Microsoft Windows with Access, Excel, Word experience
Required Education and Experience
- Associate Degree in Construction Management, Business Management or related field. Bachelor’s Degree preferred. Or, an equivalent combination of education, training and work experience.
- 2-3 years work experience in a professional business administration role.
- 2-3 years work experience in the construction industry would be a plus.
