Job Description

Executive Assistant

  • Work directly with the CEO to support with daily tasks and needs
  • Organizing meetings, including scheduling, sending reminders and organizing catering when necessary
  • Attend meetings and distribute meeting notes to attendees

Administrative / General Receptionist Related Tasks

  • Answer phone calls in a polite and professional manner and communicate messages
  • Welcome visitors and direct them to the appropriate department
  • Distribute incoming packages and send out packages
  • Maintain our sales and estimating file library
  • Maintain sales & commission reports weekly & quarterly
  • Process and track project warranty requests
  • Operate excel, word, and outlook daily
  • Interact with managers, field workers, and customers
  • Various additional tasks, as assigned

Accounting Related Tasks (as assigned)

  • Receipt entry into QuickBooks
  • Invoice entry in QuickBooks
  • Scan and upload receipt to the related project on our database


  • Administrative assistant experience is required (construction related is preferred)
  • Must be self-accountable and willing to take ownership of their role
  • Experience with data entry
  • Excellent written and verbal communication skills
  • Strong multitasking and time management skills
  • Detail oriented and organized
  • Proficient with computers (Microsoft Word, Excel, and Outlook email)
  • Ability to adapt to changes and new tasks quickly
