Administrative Assistant

(Department of Public Works and Utilities)

The City of Ripon, WI is seeking a dynamic and self-motivated individual to join our team as an Administrative Assistant for the Public Works Department. This position will play a vital role in providing administrative support services to department heads, division leaders, and their immediate staff. The successful candidate will thrive in a self-directed work environment, showcasing excellent organizational skills, a commitment to customer service, and the ability to exercise good judgment. Responsibilities:

Serve as the primary point of contact for City customers via phone, in-person, and email.
Provide a positive City customer service experience for new and existing customers.
Assist customers with inquiries, directing them to the appropriate City departments and resources.
Handle financial transactions, including utility bills, facility rentals, permits, and other activities.
Coordinate activities, work orders, and record maintenance for Department and Division leaders.
Manage payroll processes and scheduling for the water/sewer department.
Monitor office inventory, order supplies, and assist with departmental procurement.
Oversee departmental communications, including social media, customer outreach, and other notices.
Assist with program and project implementation, such as the Lead Service Line Replacement Program.
Draft and prepare legal notices, documents, correspondence, and monthly reports.

Qualifications:

  • Proficiency in modern office practices, procedures, equipment, and software.
  • Strong knowledge of English grammar, usage, and spelling.
  • Ability to work courteously with customers and make sound decisions independently.
  • Knowledge of City departments’ operations and responsibilities.
  • Effective communication skills, both oral and written.
  • Proficiency in Microsoft Word, Excel, Outlook, and Teams software.
  • High School education or equivalent (some college or technical schooling preferred).
  • Minimum of two years of experience in a related field or equivalent combination of experience and education.

Working Conditions:

The position involves a typical office environment with some outdoor activity.
Physical demands include lifting and/or moving up to 25 pounds.
Availability for varied schedules during emergencies, including nights, weekends, and extended hours as necessary.
