Executive Assistant to the President

FTE:1.0 (40 hrs./week; 12-months)

This position promotes and supports the learning experience of Marian University students by providing administrative support to the President of the University and the executive office, and performs diversified administrative and secretarial functions.

Essential Functions:


Administrative -95%

  1. Provides comprehensive administrative and secretarial support to the President of the University: assists in researching and analyzing information pertinent to presidential duties; composes and prepares correspondence and reports; manages the President’s schedule of appointments and meetings with internal and external constituencies; coordinates travel arrangements for the President and for Trustees, visitors and guests as necessary.
  2. Is a member of and serves as the key administrative support for meetings of the Cabinet, including development of meeting agendas, recording of minutes, and planning retreats.
  3. Provides administrative support to the Board of Trustees, including meeting agendas, recording of minutes, preparing board materials, organizing meetings, and organizing communications.
  4. Acts as President’s liaison on a daily basis with administrators, faculty, staff, and members of the Board of Trustees and external constituencies; cooperates in a professional manner with the entire University community.
  5. Serves as liaison with and facilitates participation of Trustees and honorees in commencement ceremonies.
  6. Has budget authority for the Office of the President; develops budgets, processes and monitors all fiscal transactions.
  7. Coordinates social functions on-campus and at the President’s house; schedules events, orders catering/staffing, prepares and sends invitations.
  8. Manages searches for vice presidents as necessary.
  9. Reviews all new releases prior to distribution to media outlets.
  10. Maintains the functioning of the office, including purchase of office supplies, equipment, etc.
  11. Maintains a positive work environment by cooperating in a professional manner with the University community.


Other Responsibilities – 5%:

  1. Performs other work-related duties as assigned


Education, Experience and Skills Required:

  1. Bachelor’s degree. Seven years of prior executive administrative support experience. A combination of education and experience may be considered.
  2. Computer literate and proficient in Microsoft Office.
  3. Ability to accurately record and transcribe minutes.
  4. Strong oral and written communication and interpersonal skills.
  5. Strong organizational and time management skills.
  6. Ethical comportment and high regard for confidentiality.
  7. Ability to assume responsibility for the efficient and smooth operation of the President’s Office.
  8. Willingly support the Mission and Core Values of the University.
